Vacancy Description

Main Duties

1. Assist with Organisation:

a. Undertake reception duties, answering general telephone calls and face-to-face enquiries and signing in

visitors – compliance with school safeguarding procedures

b. Liaising with parents/staff etc


2. Administration:

a. Provide general clerical/admin. support e.g. photocopying, filing, complete standard forms, routine


b. Produce lists/information/data as required to other staff members

c. Undertake typing and word-processing and other IT based tasks

d. Sort and distribute mail

e. Assist with maintaining manual and computerised records, particularly in relation to new admissions,

school correspondence and outstanding payments

f. Assist with organising letters and information related to the admissions process including admissions

forms, school prospectus, acceptance letters and so on


3. Assist with administering school lunches, including:

a. Keep track of and report numbers having school lunch in liaison with kitchen and through administration

of dinner registers

b. Keeping records of payments made, chasing overdue payments.

c. Supervise over lunchtime for one lunchtime per week alongside other lunch staff: assisting with

supervision of pupils in the playground and dinner hall, assisting with meals service and with clearing away

dishes, tables and chairs at the end of meal service.


4. Assist with administering School Management Information System – Arbor including:

a. Keep pupil database up to date (contact addresses etc)

b. Enter attendance data on a daily basis, including finding out reasons for absence if not known

c. Enter statutory assessment data

d. Produce class lists, lunch lists, etc

e. Add new pupils to database


5. Assist with Governors’ Administration, including:

a. Liaise with office staff to co-ordinate and distribute papers for Full Governing Body Meetings

b. Assist with maintenance of policy folders (hard copy)

c. Photocopy and distribute other governors’ papers as required


6. Resources:

a. Operate relevant equipment/ICT packages (e.g. word, excel, databases, spreadsheets, Internet)

b. Assist with trips and visits

c. Assist with receiving deliveries.


7. General:

a. Be aware of and comply with policies and procedures relating to child protection, health, safety and

security, confidentiality and data protection, reporting all concerns to an appropriate person

b. Be aware of and support difference and ensure equal opportunities for all

c. Contribute to the overall ethos/work/aims of the school

d. Appreciate and support the role of other professionals

e. Attend and participate in relevant meetings as required

f. Participate in training and other learning activities and performance development as required

Previous experience in a customer service environment

Knowledge of relevant polices/codes of practice & awareness of relevant legislation


First Aid certificate/training

Food handling training/ qualification

Ability to relate well to children and adults

£197 per week

£ 10,234 per annum

Permanent position for the right candidate


Salary will be the Minimum wage dependant on age
